Webb & Brown-Neaves is nationally recognized as one of Australia’s finest luxury homebuilders. Founded by Garry Brown-Neaves in 1978, the Perth-based company has built more than 6,000 homes for Western Australians over the years while consistently winning awards for its innovative designs and quality craftsmanship.
Staff access to critical information had become increasingly more difficult and time-consuming at Webb & Brown-Neaves. Accounts payable data took too long to retrieve, and valuable time was wasted searching for contractors’ invoices that may have been misfiled. In addition, storing more than 60,000 accounts payable images in rows of Compactus shelving was taking up too much of the homebuilder’s office space.
The Recall Solution: Recall Digital Services
Recall solved Webb & Brown-Neaves’ data access and file storage problems with a fast and efficient ongoing scheme to convert paper invoices to searchable digital files.
The Recall operations team went on site at WBN and packed 10 months of company accounts and invoices into Recall cartons to be securely transported to Recall’s information center. Using high-speed OCR (optical character recognition) technology, the Recall specialists converted the invoices into a digital format. The storage space required for the physical documents was reduced from 23 square meters (247 square feet) of office space down to just three USB thumb drives that comfortably fit into the palm of one hand and, once uploaded, the accounts team could now easily search and access all the archives from their own server.
Physical copies confirmed no longer needed were destroyed and recycled as part of Recall’s Secure Destruction Services.
Recall continues to work through the company’s archives, converting eight lever arch files of paper invoices each month to digital files for the Webb & Brown-Neaves accounting team.
The Webb & Brown-Neaves staff now has fast and reliable desktop access to an easily searchable database of invoice history through the company’s server.
